Les Peupliers Loire

These Terms and Conditions govern all reservations made at Les Peupliers Loire (the Property). By making a booking, you agree to be bound by these terms.

1. Definitions

Company/We/Us: Les Peupliers Loire

Guest/You: The person or persons making the booking

Booking: A reservation for accommodation and/or services

Property: Les Peupliers Loire, 2 Rue de Montauron, 49730 Varennes-sur-Loire

2. Booking & Payment

2.1 Room Bookings (B&B Stays)

  • Deposit: A 50% deposit of your total room cost is required at the time of booking via credit or debit card.
  • Final Payment: The remaining 50% balance is due 30 days before your arrival date.
  • Additional Services: Any additional services such as meals, massage treatments, and e-bike hire are payable in cash or by card before departure.

2.2 Retreat Bookings

  • Deposit: A 50% non-refundable deposit is required at booking to secure your place.
  • Final Payment:ย The remaining 50% balance is due 90 days before the retreat start date.
  • Additional Services: Any additional services such as additional drinks consumed and e-bike hire are payable in cash or by card before departure.
  • Our Commitment: If we must cancel the retreat due to insufficient participants, your deposit will be refunded in full.

2.3 Payment Authorization

By providing your credit or debit card details, you authorize us to charge the card for all amounts due under these Terms, including any additional services booked during your stay and any charges for damages or losses as outlined in Section 8.

Your booking is confirmed only once we receive your deposit and complete booking details.

3. Cancellation Policy

3.1 Guest Cancellations

  • Room Bookings: Cancellations must be received by email to info@lespeupliersloire.com by 3pm, 31 days before your scheduled arrival for any refund. If you cancel after final payment is made (30 days before), no refund will be issued.
  • Retreat Bookings: Deposits are non-refundable. If you cancel after final payment is made (120 days before), no refund will be issued.
  • Special Offers: Some promotional rates are non-refundable and non-transferable regardless of cancellation timing.

Refunds, where applicable, will be processed to the original payment method within 14 business days.

3.2 No-Shows

If you do not arrive on your scheduled check-in date and have not notified us of a late arrival or cancellation, you will be charged the full booking amount with no refund.

3.3 Cancellation by the Company

In the rare event we must cancel your booking, you will receive a full refund. We will have no further liability beyond the refund amount for costs incurred as a result of the cancellation (such as travel arrangements or other bookings).

4. Check-In & Check-Out

4.1 Check-In

  • Time: Check-in is available from 16:00 (4PM) on your arrival date unless otherwise agreed.
  • Identification: For security purposes, guests must present valid photo identification (passport, national ID card, or driving licence) and a credit or debit card at check-in.

4.2 Check-Out

  • Time: Check-out is by 10:30AM on your departure date.
  • Late Check-Out: Subject to availability and subject to additional charges at our discretion.

4.3 Room Allocation

Your booking guarantees a room of the type reserved but does not guarantee a specific room. We reserve the right to allocate an alternative room of equal or higher standard for operational or safety reasons. If we move you to a room with a lower rate, we will refund the difference.

5. Guest Conduct & Property Rules

5.1 Behaviour Standards

We strive to provide a peaceful, comfortable environment for all guests. You are expected to conduct yourself respectfully and considerately at all times. This includes:

  • Respecting the comfort and privacy of other guests
  • Following all property rules and staff instructions
  • Maintaining reasonable noise levels, especially during evening and morning hours
  • Treating our property, staff, and other guests with courtesy

We reserve the right to ask guests to leave immediately, without refund, if their behavior is deemed disruptive, offensive, or dangerous to others or to property.

5.2 No Smoking Policy

The Property is entirely smoke-free. Smoking and vaping are not permitted in any room, public area, or enclosed space.

If evidence of smoking or vaping is found in your room, you will be charged a minimum cleaning fee of โ‚ฌ150 to restore the room to a smoke-free condition. This may include the cost of additional laundering, deep cleaning, and airing.

6. Children & Age Policy

Adults-Only Policy: Les Peupliers Loire is an adults-only establishment. Children under 16 years of age are not permitted unless the entire Property has been booked exclusively under one reservation.

Exclusive Use Bookings: If you wish to book the entire Property for a private event that includes children, please contact us at info@lespeupliersloire.com. Such bookings require:

  • Minimum stay of 5 days
  • Prior written approval from management
  • Children must be supervised by an adult at all times

7. Pets

Limited Pet-Friendly Accommodation: One well-behaved dog is permitted in the Chinon room only, subject to prior written approval.

Pet Requirements:

  • Advance booking required via email to info@lespeupliersloire.com
  • Dogs must be friendly, non-aggressive, and well-socialized with people, dogs and cats
  • Pets are not permitted in shared guest areas, dining room, or pool area
  • Dogs must be supervised at all times and never left unattended
  • Owners are responsible for cleaning up after their pet in all areas
  • We reserve the right to request alternative arrangements if a pet exhibits disruptive behaviour

You are fully responsible for any damage caused by your pet. Additional cleaning fees will apply if required beyond normal housekeeping.

8. Damage & Liability

8.1 Guest Responsibility for Damage

You are responsible for any damage to the Property, its contents, or furnishings caused by you or members of your party during your stay. This includes but is not limited to:

  • Damage to furniture, walls, fixtures, or fittings
  • Severe stains or damage to linens, towels, or bathrobes
  • Missing items from your room
  • Damage to gardens, pool area, or outdoor facilities

We will assess and charge for damages or missing items at the end of your stay. You authorise us to charge your credit or debit card for these costs.

8.2 Lost or Stolen Property

We are not responsible for loss, theft, or damage to your personal belongings left in your room or elsewhere on the Property. We recommend securing valuables and using travel insurance.

8.3 Limitation of Liability

To the fullest extent permitted by law, our total liability under this contract shall not exceed the total amount paid by you for your booking. We are not liable for indirect, consequential, or economic losses including loss of profit, goodwill, or business opportunity.

Important: Nothing in these Terms limits our liability for death or personal injury caused by our negligence, or for fraud or fraudulent misrepresentation.

9. Facilities & Amenities

While we make every effort to keep all facilities available, pool, garden areas, e-bikes, or other amenities may occasionally be unavailable due to maintenance, adverse weather, or circumstances beyond our control. We will inform guests of any planned maintenance in advance where possible, but we cannot guarantee availability and are not liable for any inconvenience caused.

10. E-Bike Hire Terms

E-bikes are available for hire to guests. By hiring an e-bike, you acknowledge and agree to the following:

10.1 Responsibility & Care

You assume full responsibility for the e-bike and its accessories during the rental period. Any loss, theft, or damage beyond reasonable wear and tear will be your responsibility, and you agree to cover the full cost of repair or replacement.

10.2 Safety Requirements

  • Helmet: You must wear a certified cycling helmet at all times while riding.
  • Road Rules: You must comply with all French road laws and cycling regulations.
  • Appropriate Clothing: Wear suitable footwear and clothing for safe cycling.

10.3 Liability Waiver

Cycling involves inherent risks. We shall not be held liable for any injury, accident, damage, or loss incurred during e-bike use unless caused by our gross negligence or fault in maintaining the equipment.

11. Data Protection & Privacy

We collect and process your personal information (name, contact details, payment information, identification documents) in accordance with applicable data protection laws, including GDPR where applicable.

Your data is used for:

  • Processing and confirming your booking
  • Complying with legal requirements (guest registration, tax reporting)
  • Communicating with you about your stay
  • Improving our services (with your consent)

Guest records will be retained for a minimum of 12 months as required by law. For full details on how we handle your data, please refer to our Privacy Policy available at http://www.lespeupliersloire.com or by request.

12. Force Majeure

We are not liable for failure to perform our obligations if prevented or delayed by circumstances beyond our reasonable control. This includes but is not limited to: natural disasters (floods, earthquakes, extreme weather), acts of God, acts of terrorism, fire, power failures, strikes, pandemics, or government restrictions. In such cases, we will work with you to reschedule or provide a full refund but have no further liability for consequential losses.

13. Changes to These Terms

We may update these Terms from time to time. The version in effect at the time of your booking will govern your reservation. Updated Terms will be posted on our website at http://www.lespeupliersloire.com.

14. Governing Law & Jurisdiction

These Terms are governed by French law. Any disputes arising from your booking or stay shall be subject to the exclusive jurisdiction of the French courts.
